SALARY: N50,000
We are seeking a highly organized and motivated Personal Assistant to provide comprehensive administrative support to our executive team in the fast-paced environment of our aviation brokerage and aviation tradeshow company. The ideal candidate will have strong organizational and communication skills, the ability to manage multiple tasks efficiently, and a keen attention to detail. This position requires a proactive individual who can anticipate the needs of the executives and contribute to the smooth functioning of the office.
JOB RESPONSIBILITIES
- Administrative Support:
- Manage executives’ calendars, schedule appointments, and coordinate meetings.
- Prepare and organize documents, reports, and presentations for internal and external use.
- Handle correspondence and communications on behalf of executives.
- Travel Coordination:
- Arrange and coordinate travel itineraries, including flights, accommodations, and ground transportation.
- Ensure that executives have all necessary information and materials for business trips and meetings.
- Event Planning:
- Assist in the planning and coordination of aviation tradeshows and related events.· Collaborate with the events team to ensure seamless execution of logistics.
- Communication Liaison:
- Act as a primary point of contact for internal and external stakeholders.
- Facilitate communication between executives and various departments within the company.
- Expense Management:
- Track and manage executive expenses, ensuring accuracy and adherence to company policies.· Prepare and submit expense reports promptly.
- Confidentiality:
- Handle sensitive information with discretion and maintain a high level of confidentiality.
- Office Management:
- Assist in the overall management and organization of the office environment.
- Order and maintain office supplies as needed.
Job Requirement
- Proven experience as a personal assistant or similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to prioritize tasks and work well under pressure.
- Experience in the aviation industry is a plus.
- Bachelor’s degree in business administration, communication, or a related field.
